Automatic Renewals
by Barb Gudenburr 28 Aug '18

28 Aug '18

Thanks for so many responses to my original question: We are discussing the use of Automatic Renewals at our library and I wanted to know about the good, bad and the ugly of going in this direction. We started automatic renewals just over three years ago. Overall it has been very well received by our customers. Below are my quick thoughts on pros and cons: PROS: 1. Great PR for the public. They love it when they get extra time without even asking for it. It greatly reduces fines so far fewer negative experiences with the library. We even send a message letting them know that our Customer Care team have renewed their items to give them more time and often get thank you messages back. 2. It gives a huge boost to circulation statistics. While these are officially counted I still take a harder look at first-time checkouts. CONS: 1. The converse of reduced fines from the revenue perspective. Offhand I'd easily say it has cut ours in half from $150K to $75K. But we've also greatly relaxed our policy on lost items and encourage waiving fines whenever reasonable with a broad interpretation of reasonable. My mantra to the board is that fines represent a total count of negative interactions with the public. 2. People get confused when their items are due and if something is on hold and is NOT automatically renewed. This applies in particular to the user set who get a printed receipt and tack it on their refrigerator. Our online/app users don't have this issue. Again, we are generous in waiving fines if someone gets confused. Bottom line, if you can deal with losing the revenue then I think it's a very positive service feature to implement. Clinton-Macomb Public Library The Suburban Library Cooperative shared system libraries all use Automatic Renewals and have had so much positive feedback! We only had a few people complain that they wanted to control their own account and if they wanted to renew items or not. The vast majority liked the convenience of getting an email or text stating that their items were renewed without them having to do anything. Sterling Heights Public Library We are using VERSO at our library and enabled the Automatic Renewal function for our patrons. As long as it worked, it was the best service. Patrons were very pleasantly surprised when they came in ready to pay a fine and we informed them that the system took care of that. The big downfall though is: If a patron has multiple items checked out and receives the email from VERSO that their items were renewed, they of course never went through the whole list to see, if really in effect ALL items were renewed or if some were not renewed due to being on hold or having been renewed already once before. They happily leaned back thinking that they were free of fines, while in reality one or more items were collecting fines, because they did not fall under the Automatic Renewal rules. So, if I came across a case like that I called the patrons to alert them of the fact that not ALL items were renewed. Of course, if I did not catch it by chance and did not call, then patrons were aggrieved and did not want to pay their fine. The decrease in fines was quite dramatic, though. Right now there is a glitch with VERSO and the Automatic Renewal function and we turned it off. So far our patrons don't seem to miss it too much. Tecumseh District Library Pros: great PR, our users LOVE it, it really will boost your circ numbers, environmentally positive as you are cutting down on trips to the library to return a book that is due today. Cons: expect a significant drop in your overdue fines Rochester Hills Public Library I'll give you my reaction to Auto Renewal. On the front lines of the Circulation desk, I love being able to tell people about Auto Renewal. It's a great selling point for customer service. People love auto-renewal especially when it saves them some money when they have forgotten to bring their items back. The relief, when we tell them they don't have any fines for an item because it auto renewed for them, is awesome to behold. Lol We came up with a script for Circulation, so everyone was on the same page telling people about it. The same information is given out at check out. "Your items will renew 2 times as long as no one has a hold on them" We started advertising before we went "Live" to get people in the loop. We had posters up and our name tags had more advertisements for Auto Renewal. We also had fun with it and created a video advertisement. Patrons love it. The notifications work the best when received by email. The email gives the most information. It lists the items that have renewed plus the dates of everything checked out. A text only says something like: "Items have renewed for you at CIDL" In that instance, the patron doesn't know what renewed nor if something didn't renew. We get a few phone calls or emails where people are angry because they get that text and then something turns up overdue because it doesn't renew and they didn't know it. I always tell them that they can switch to email which is better, or log into their account when they receive the text to get the full amount of information. I've had only one patron yelling at me because it's a "flawed system". It's not flawed, she just couldn't figure it out. Older patrons, who don't have emails, still have phone notifications set up. Even though their items renew, they won't get a phone call letting them know. They still call us and ask us to renew items for them and we still check their account over the phone to give them their new due date. There is some confusion about items not renewing if someone has a hold on it. They call or email because they still had renewals left but they didn't get the renewal. Everyone calms down when we remind them about the "Hold clause". Also, some people think their item will just keep renewing forever or they forget to return stuff because it does auto renew. I feel like the benefits of auto renewal outweighs the small irritations. As long as you keep your patrons informed and keep your staff on the same page, you'll do great. Puppet cleaning responses
by Emily Ellison 28 Aug '18

28 Aug '18

Thank you all for your responses. They have been most helpful. Emily Ellison I have machine washed so many stuffed animals over the years, seems like it would also work for puppets, Remove any ribbons, bows, etc. tie into a pillow case, wash and dry lightly in machine. I would also check with a local drycleaner. Good luck! Connie Commerce Twp. Public Library Our friends of the library take care of that for us. If they are able to be washed they do so in pillowcases. If they need dry cleaned our local cleaner does it. Joann @ Hudson I take the puppets home and put two or three in a pillowcase; tie the pillowcase up; toss in the washing machine on Delicate (warm water). Then I throw the whole thing in the dryer. If a puppet doesn't make it, too bad. We rotate our puppets every two to three months, so I have time to let them dry fully, etc. This is all much simpler because we don't have tags--just wrote Saline District Library in permanent marker on the manufacturer's tag. Hold Shelf Privacy Responses
by Shane Stewart 27 Aug '18

27 Aug '18

Ours are behind the circulation counter. No one can see the name of who the item is reserved for except staff. [We] recently (about a year ago?) went to self-serve holds, except with MeL books (on shelves behind circ). Concerned with patron privacy, we use only the 1st 4 letters of the patron’s last name and the last four of the patron’s card number on the slip that wraps the book. We also wrap the book with the spine facing toward the back of the shelf. The patrons have not complained, to my knowledge. We have a self-serve hold shelf. In order to keep it more private, we place the spines inward and the slip with the name sticks out of the pages of the book facing the back cover. I hope this helps. We have always wondered about this! We started open hold shelves about six months ago. We lay the books title down and have the patron’s name on a slip of paper that sticks out the end. So far – so good! We keep our holds behind the front desk for privacy reasons. It’s worked out well for us. We have had self-serve holds for a number of years now (at least 9, I think), and changed at the same time we added self-check machines. I suspect we are not alone in this timing! I too was skeptical at first but there hasn't been a problem. We even do it with MeL loans now and have yet to lose a MeL loan this way (our own items have gone missing from time to time, though). As far as privacy goes, our shelves are right across from our desk, in full view of the staff, which helps. We've really only had one patron look at others' holds, but this patron is one of our most difficult ones anyway and stopped after being told not to do so. We wrap the spine with a half-sheet of paper, which allows us to cover the spine label and a good portion of the title, and shelve our own items with the spine facing outwards. For MeL items we wrap (again with a half-sheet of paper) the edge of the book and shelve the items with the spine inwards; we had gotten into the habit of doing this when they were shelved behind our desk. About the only thing that comes up is this: a patron pulls a hold off the shelf, decides they don't want it, and then returns the item to our sorter without telling anyone. The hold stays active (with the same pickup date as before) and there is then a bit of confusion until we figure it all out. However, this doesn't happen very often. We also have the occasional hold leave without being checked out, but again this is very rare. I would be interested to hear about other libraries' experiences, particularly those who use automatically-printed hold wrappers as those appear to be smaller than our current hold wrapper. We have a lot of holds and no place to store them behind our Circ desk. We have shelves just outside each side of the Circ desk where they are held. A-L is on one side, M-Z is on the other. We generate a printed paper when the requested material is available with their last name running down the spine. The paper is folded it to fit around the book, dvd, etc. and secured with a rubberband and they are filed alphabetically by last name on the shelves. This seems to be working well and allows the patrons to be self-sufficient. We keep our regular patron holds in a self-serve shelving area. Some things we do to protect their privacy are to shelve the books spine IN, so only the ends of the pages are showing, or the lock side of a DVD lock box. Other than that, it's not very private, although we have not had any complaints that I know of. I know [another] Library allow patrons to make up a fake name (I forget what they call it - an avatar?) that goes on their holds. So, for example, their holds could be under "Batman" instead of their real name. In looking at their holds shelves, some people took advantage of this and some didn't. Maybe 30% did and 70% didn't? (I was on vacation, not paying super close attention.) I made this suggestion to our library, but it wasn't acted on. It might be that our software (Polaris) doesn't have this capability, or maybe we just haven't had complaints about privacy. Our interlibrary loan holds we keep behind our circulation desk for safe-keeping. we have self-serve hold shelves. We shelve the books spine in, so patrons cannot see the titles others are checking out. We have not had any issues with this method as far as I am aware. We keep behind the desk for privacy reasons. [We] keep holds behind the circulation desk. Items are not disclosed unless either the holding patron or his or her library card is present. I have wondered about self-serve hold shelves myself. Privacy seems very difficult to maintain. We just started self-serve holds a week ago today. Our ILS (Sirsi Symphony) has a hold wrapper receipt option that can be customized. We chose to include first 3 letters of the patron last name + last four digits of the patron library card number. We also shelve the items spine down for extra privacy. I think our system seems private- though with only 3 letters of the last name we have multiple SMI or BRO out at any given time, but with the last 4 of the library card we can keep the items separate. We do have patrons pulling and handling other patrons’ items already. An option that we will offer anyone who is still concerned about privacy is slipping their items into large manila envelopes, or possibly shelving in our former holds drawers. We’ve been self-serve since our remodel about seven years ago, but are considering going back to keeping holds behind the checkout desk. It’s not that patrons have complained, we feel it would be less of a violation of privacy. However, since then we’ve introduced self-check so there’s that to consider and some patrons are content with the flow: walk-in, pickup holds, checkout through self-check, leave. In my opinion, it's a major privacy violation and a serious violation of professional ethics. https://journals.ala.org/index.php/rusq/article/view/3797/4151 -- Shane Stewart Circulation Supervisor Chesterfield Township Library 50560 Patricia Ave. Chesterfield, MI 48051 Phone: 586-598-4900 Fax: 586-598-7900 E-mail: shanestewart(a)chelibrary.org
