Hello Donna, Thank you for this discussion, as my library is dealing with some similar issues. Our current bylaws set the meetings rules rather than a policy per se. I am currently considering asking my Board to update the Bylaws to address remote voting and to give a set number of absences whether excused or unexcused. 1. Is there a limited number of excused absences allowed? Current Bylaws relating to attendance Article II - BOARD OF TRUSTEES Section 4. Meeting Attendance. Members shall be expected to attend all meetings except as they are prevented by a valid reason. Here is a chart I created in December to quantify the problem of absences. We have 1 member who missed 4 of the 12 meetings which has caused some issues bc that member is then not up to date on discussions. In the past when we had a member miss 3 or more meetings in a year, then the Board President had a discussion with them about whether their other life commitments are getting in the way of their commitment to the library board and whether: 1) they can recommit to attending meetings regularly; or 2) they would like to step-down. We have had people step-down mid-term and others who stick it out till their 3 year term is up. Fyi, our Board members turnover in May, so you see the old #3 attended Jan-Apr and the new #3 attended May-Dec. Whereas Old #4 completely quit attending and it took us 3 months to replace with New #4. Currently Old #7 left and needs to be appointed by an outside entity so we are going on a 4th month without that rep. We have 7 members and have been operating with 5-6 at various points which makes it harder to get a quorum of 4. Also, I have found the inclusion of "valid reason" with no definition = any reason. When the trustee attends remotely, is the roll call vote valid? Currently we do not allow remote attendance or voting, but I would like to consider it when we update our bylaws since it is more "usual" these days for committees. But perhaps add in a number of allowed remote meetings per person, on an emergency basis, so we don't end up with someone calling in 6x/yr. Current Bylaws relating to quorum and voting Article IV - MEETINGS Section 6. Quorum. A quorum for the transaction of business at any meeting shall consist of four (4) members of the Board present in person. Article X - GENERAL Section 1. Additional details below: As the Cultural Center of Hartland, Hartland’s Cromaine is expected by its community to offer music and art, as well as all of the science, engineering and technology engagement possible for all ages. We have a full-time Community Relations Manager position available to lead a 3-person department with several projects in the strategic plan. Your responsibilities include grant-writing and gift development, oversight of the Library’s print and online communications, including advertising, and contributing to and administration of the library’s extensive event calendar. You’ll work with a highly collaborative management team and your own staff to produce creative, innovative and exciting promotions and gift- and grant- based series programs that meet our community’s desires and exceed their expectations. Cromaine District Library is located near the intersection of M-59 and US-23—easy to get to from Detroit, Lansing, Ann Arbor and Flint. Hartland’s Cromaine (built in 1927, expanded in 1980 and again in 2017). We have a serious commitment to outreach, participating in many events and exhibits beyond our walls as well as finding new ways to be active outside this building in a busy community. Cromaine wins grants, including several National Endowment for the Arts’ The Big Read. Grants for technology in Youth, local business sponsorships for the summer concert series, exhibits from the Smithsonian and to be a pilot for a national grant program—we are a place to connect to culture, music, technology, makers, as well as reading in every format. Many of the grants support a very full event calendar (check it out at www.cromaine.org/event-calendar) which you will be instrumental in creating. We are an Advantage, hoopla, and RB Digital magazine and audiobook library. We also offer Kanopy and Universal Class, services supporting our lifelong learners. We welcome new technologies and ways to improve collections and services, taking seriously every patron request for both popular materials and those more esoteric. We pay non-MLS managers from $19.00 to $20.50 per hour to start; MLS managers start at $23.74 to $24.76; 40 hours per week with half-hour paid lunch; includes some evenings and weekends with Sundays at time and one-half. MLA membership and national conference attendance (in rotation) paid. Full-time positions at Cromaine have paid vacation, sick and business time (available after completion of the 6-month introductory period), plus holiday pay, paid birthday and paid bereavement leave. Any interest in a collection of Lighthouse periodicals for your library or organization? (Lighthouse Digest & the Beacon)

Hi everyone - I hope this finds you all well on this New Year's Day 2020. I am going through some of my personal collections and have a large and mostly complete set of Lighthouse periodicals that I would like to donate to a library. I am sure I could use RIDES to get this to you. This is essentially what I have: - The Beacon (Quarterly publication of the Great Lakes Lighthouse Keepers Association - GLLKA) from 2002 to the present (with a few older issues) - Lighthouse Digest (historical magazine with great articles and photos) from 2000-2002 and 2007 to the present. - Great Lakes Lighthouse Yearbook (from the lighthouse festival in Alpena) from 1999 to 2005. These take up two record center cartons (about one cubic foot each) and are in great condition - a librarian's occupational hazard! We are hoping to downsize this year - so hopefully there is a library or a cultural organization in the state that might be interested in these.
