Full-time Administrative Assistant

Hours: Full-time

Salary Range: $16.00-$19.12

 

Grade: 5

Job Summary

 

Serve as a member of the management team under the general supervision of the library director. Perform duties related to: secretarial responsibilities, library finances, personnel policies and concerns, and facilities oversight and support.

 

Responsibilities

 

1.     Provide confidential secretarial services to the Director and Library Board of Trustees

2.     Maintain library administrative and personnel files

3.     Manage accounts receivable, accounts payable, and library payroll

4.     Maintain financial records according to state and federal standards by working with the accountant, township treasurer, auditor, and Director

5.     Act as benefits administrator of library’s health and life insurances, as well as retirement benefits

6.     Coordinate and distribute monthly Library Board meeting packets

7.     Attend monthly Library Board meetings to take notes for Director

8.     Assist with preparation of annual budget

9.     Arrange travel accommodations for employees attending conferences

10.  Maintain inventory and purchase of:

a. maintenance supplies

b. first aid kit and supplies

c. janitorial supplies

d. office supplies for all departments

11.  Control building access by distribution of keys, programming of security system access codes, and keeping up-to-date security records

12.  Schedule and work with outside contractors performing preventive maintenance, equipment repairs, improvements, lawn maintenance, and snow removal, etc.

13.  Manage and oversee all public utility usages, billing rates, and contract costs

14.  As required, submit drinking water samples as required to the Oakland County Health Department

15.  Monitor security and fire alarm systems by serving as on-call 24 hour liaison to alarm company

16.  Maintain and update departmental emergency information binders

17.  Purchase supplies, fill, and maintain water softener system

18.  Other duties as assigned

 

Qualifications

 

  1. Bachelor’s Degree at minimum
  2. Minimum of two (2) years in an administrative position
  3. Proficiency in personal computers and Microsoft Office applications
  4. Basic understanding of work hazards, safety procedures, and public safety matters
  5. Ability to analyze complex problems and develop reasonable solutions
  6. Must possess a valid Michigan State driver’s license
